The check out function allows you to download content from the Server for editing. When you check out content, a lock can be placed on the content to prevent other authors from checking the content into the Server as a new version. When content is locked in this manner, other authors cannot checkout the content.
Content may not be checked out if one of the following conditions is present:
- The content is locked by another author. In this instance, the other author can download the content but cannot lock the document and any edits made will be lost.
- The author attempting to check out the content does not have permission to the content.
- The content is currently in a workflow process that does not permit editing.
After you check out content, you are editing and saving a local copy of the content. The content is not saved back to the Server until you check the content into the Server.
Checking Out a Document Via the Editor
- From the Editor, select to select and open a document currently on the Server.
- Complete the following fields:

After the document is open in the Editor, you can still lock the document against others' edits. Select to lock the document for editing.

Checking Out Content Via the Server
For complete details regarding the Server workspace, refer to Using the Server Workspace and Browsing the Document Library in the companion manual Managing Content.
- Navigate to the document cover page on the Server.
- Select one of the following options:

Check out a managed document from the Server

- Select Lock on the left menu if you want to lock the file for editing.
NOTE: If another user has checked out the document, this option will be grayed out.
- Select Get Latest Version on the left menu.
- Save the file locally.
- Open the file with the appropriate editor.

Check out a document or course from the Server
|
- Select Get Latest Version on the left menu.
- If prompted, save the file locally.
NOTE: Selecting Open at the prompt can cause the file to be locked. Ensure that you select Save at the prompt.
- Ensure the Editor is connected to the Server.
NOTE: If the Editor is not connected to the Server, the template associated with the document or course will not be downloaded. Refer to Managing Your Editor Configuration Settings: Specifying The Server Connection to establish a connection to the Server.
- Open the document or course in the Editor.
- Select to lock the document or course for editing.

Canceling the Check Out
Canceling a check out will not update the Server with any changes you have made to the content. Canceling the check out removes any lock on the file, allowing a different author to edit and add a version of a file. Administrators, the content owner, or the author who has checked out the content have the proper privileges to cancel a checkout.
Canceling the Check Out Via the Editor
- Open the checked out content in the Editor.
- Select .
Canceling the Check Out Via the Server
- Navigate to the checked out document's cover page on the Server.
- Select Unlock on the left menu.
NOTE: For documents and courses, select Cancel Check Out.
- Click OK on the confirmation window.
